Allianz Housing Ltd acts as a data controller in relation to personal data collected through our platform and services. In certain circumstances we may act as a data processor on behalf of registered providers or partner organisations.
This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website, use the Allianz Housing App, or interact with our services as a tenant, occupant, or Housing Solution Partner (HSP).
2. Information we collect
We only collect personal data that is necessary for the purposes described in this policy (data minimisation). Categories may include:
- Identity and contact data: name, date of birth, nationality, contact details, address, and identification documents where required for Know Your Customer (KYC) checks.
- Financial data: bank or payment details and transaction history, processed securely via our payment providers (e.g. Stripe) where applicable.
- Profile and account data: usernames, credentials, housing preferences, support needs, and feedback you provide.
- Special category data: where relevant to supported housing, health or vulnerability-related information only with appropriate consent and safeguards. We may process criminal history data through a third-party provider (e.g. Amiqus) for mandatory compliance checks such as DBS where the law permits.
- Technical and usage data: IP address, browser or app version, device identifiers (where applicable and permitted), operating system, and usage metrics to secure and improve our services.
3. How we use your information
We use personal data to provide and improve our housing and app services, verify identity, comply with legal and regulatory obligations (including anti-money laundering), communicate with you, process payments, operate the integrated learning portal, detect and prevent fraud or misuse, and where we have a lawful basis for analytics or marketing where you have consented or can object as described in our full in-app policy.
Processing is carried out under UK GDPR lawful bases such as contract, legal obligation, legitimate interests (where balanced against your rights), and consent where required.
4. Sharing and processors
We may share data with trusted processors and partners who assist us (for example cloud hosting such as AWS, authentication providers, payment processors, and compliance tools). They process data only on our instructions and under appropriate agreements and safeguards, including for international transfers where relevant (e.g. standard contractual clauses or adequacy decisions).
5. Data retention and deletion
We retain personal data only for as long as necessary to fulfil the purposes for which it was collected, including legal, accounting, or reporting requirements. For example, tenant and HSP records are generally kept for six (6) years after the end of the contract or tenancy where UK tax and legal obligations require. KYC and identity records are retained in line with anti-money laundering rules.
When data is no longer needed we will delete or anonymise it securely, subject to limited exceptions where the law requires longer retention.
6. Your data protection rights
Under the UK GDPR you have rights including:
- Right of access - obtain a copy of the personal data we hold about you.
- Right to rectification - correct inaccurate or incomplete data.
- Right to erasure - request deletion where there is no overriding lawful reason to continue processing.
- Right to restrict processing - limit how we use your data in certain circumstances.
- Right to data portability - receive some data in a structured, machine-readable format.
- Right to object - object to processing based on legitimate interests or direct marketing.
- Right to withdraw consent - where processing is consent-based, without affecting prior lawful processing.

We implement appropriate technical and organisational measures to protect personal data. If a breach is likely to pose a risk to your rights and freedoms, we will notify the Information Commissioner's Office (ICO) within 72 hours where required and inform affected individuals without undue delay.
8. Cookies and children
Our website and app may use cookies and similar technologies as described in our cookie notices and preference tools. Our services are not directed at children under 18; if we learn we have collected a child's data we will delete it promptly.
